Position Summary

Manage and provide leadership for the University’s administrative processes to attain continuous improvement in efficiency and effectiveness in support of the University’s mission, vision and academic programming.

Manage and provide leadership for the University’s financial operations to achieve excellence in the provision of financial services in support of the University’s mission, vision, and academic programming

Effectively steward the University’s resources, including funds, facilities and other assets in support of the University’s operations and strategic plan.

Serve on the Executive Council contributing to the overall direction and leadership of the University through interaction with the President and other council members.

Vocational Experience

Academic Credentials and Professional Designations

• Bachelor’s degree, preferably in business discipline. (Required)

• Advanced degree in business discipline or Certified Public Accountant. (Preferred)

Position: Executive Assistant to the President

Position Summary

Serve as executive assistant to the President providing project support, project management, public relations support, and augmentation of all activities of the President’s office.

Duties and Responsibilities

Direct and manage all executive projects related to the president’s office, provide project management support, provide public relations/communication support related to executive projects, manage board relations, represent the president’s office as needed, and provide support for assignments made by the president:

• Direct and manage all executive projects related to the president’s office.

• Provide support and manage relationships between the president’s office and the BUA Board of Trustees to include planning, meeting preparation, board development events, and special projects related to the board. Provide support related to cultivating Board-Elected Trustees.

• Provide support to the President in the cultivation and solicitation of major gifts.

• Support the President in his involvement with the Baptist General Convention of Texas and other Baptist bodies or institutions, and assist him/her in the fulfillment of his/her responsibilities as a denominational officer or leader.

• Utilize database such as friends, churches, pastors, trustees, president advisory committee, president development council, prospective students, and personnel birthdays and anniversaries. Create and manage these databases.

• Receive, open, read, distribute, and manage President’s incoming correspondence. Prepare written responses to correspondence as assigned.

• Compile, edit, print, assemble, and bind documents such as trustee booklet, strategic plan booklet, accreditation and certification documents, and other booklets for special events.

• Print and distribute letters to friends, churches, pastors, trustees, prospective students, letters of employment, and inter-office memos. Send president’s faxes and prepare labels and envelopes for mass mail-outs through mail merges.

• Create and design school calendar, brochures, and occasional programs. Design cover sheets for Board booklets.

• Preparations for meetings such as copies, snacks and drinks as well as take minutes at meetings as assigned.

• Provide administrative support for all projects related to the President’s Office.

• Organize luncheons. Order and pick up gifts for special events such as plaques, frames, etc. Provide support for all University-wide events such as Chapel, Rollins Lectures, Founders Day, Convocation, Commencement, etc.

• Make phone calls as requested by the President and answer and screen all calls. Set appointments for the President as assigned.

• Make hotel, flight, and car rental reservations for the President, some faculty members, trustees and other special guests. Manage president’s expense receipts. Maintain President’s files.

• Buy office supplies for the Office of the President. Oversee and keep track of the stock and order President’s letterheads, envelopes, and thank you notes.

• Organize and plan special University events such as the BUA Eagle Run, and the Golf Fellowship.

• Additional assignments from the President.

Qualifications

• A mature follower of Jesus Christ with sound spiritual formation habits. A multi-tasking servant leader, high energy and self motivated, strong interpersonal skills.

• Strong organizational, planning, project management and goal-setting skills.

• Effective time management skills.

• High personal integrity and sound personal and professional ethics.

• Ability to work effectively with diverse internal and external stakeholders, to build board and volunteer leadership, and a history of collaborative leadership.

• Five or more years of effective project management, relational experience with a diverse constituency, and experience with a solutions orientation.

• Knowledge of institutional foundations, history, and potential.

• Demonstrated personnel and budgeting skills, cross-cultural skills, and a conversational Spanish and English.

• Commitment to continued professional development.

• Knowledge of and commitment to the use of technology to support the president’s office. Knowledge of Microsoft Outlook, Excel, Word, and PowerPoint are expected as well as familiarity with other technology that will increase effectiveness.

• Membership in a Cooperating church related to the BGCT is preferred.

• Knowledge of and a commitment to historic Baptist distinctive; the School’s mission, vision, and values; and a strong appreciation of and commitment to advancing biblical higher education.

• Bachelor’s degree, and preferably a graduate degree from a recognized, accredited institution of higher learning.
